Define success before choosing a plan

Start with one support task, such as explaining delivery policy or answering product questions. Decide what a correct answer must contain and when a person must take over. Do not treat a fluent answer as a completed customer request. This is a proposed pilot method based on documentation, not measured agent performance.

Collect the current policy pages, product information and escalation instructions. Use synthetic test customers and orders where a sandbox or preview allows them. Keep the pilot separate from live customer conversations until its behaviour has been reviewed.

1. Check whether your current setup is enough

Review your existing helpdesk, saved replies, help centre and store messaging before adding another system. Better policies or clearer product information may solve the immediate problem. Use an additional agent only when it addresses an identified task and its ongoing bill is understandable.

2. Build a small scenario set

Write the expected outcome before running each scenario. A practical first set covers routine questions, missing information, ambiguous requests and situations that should reach a person. Use the same scenario wording when comparing configurations.

  • A product question answered by a current catalog attribute.
  • A delivery-policy question with an answer in the help centre.
  • A request with missing order or identity information.
  • An out-of-policy request that should not receive a promise.
  • A request for a person, including an after-hours case.
  • An attempted order change that the selected plan or setup cannot perform.

3. Separate answers from actions

Begin with documented answers and handoff. Before testing an action, identify its inputs, account permissions, allowed conditions and expected record of the change. Reading order details is different from changing an address, cancelling an order or issuing a refund.

Where the product supports testing without production changes, inspect the proposed action there first. Otherwise arrange a controlled test in a suitable store environment. A recommendation in the conversation does not prove that the requested action happened.

4. Review the whole conversation

Record the answer, supporting policy, attempted action, final state and escalation destination. Look for invented policy, stale product facts, repeated loops and handoffs that lose context. Check that the person receiving the conversation can understand what has already happened.

Classify the outcome as correct, partially correct, incorrect or appropriately escalated. Record the reason and repeat failed cases after changing the knowledge or configuration. Keep the original failures in the pilot record.

5. Reconcile the vendor meter

For each scenario, record what the vendor charged or counted. Replies, conversations, tickets and resolutions are different events. Zipchat publishes reply allowances; that allowance should not be treated as the same number of completed support cases. Check the live price page and selected billing term.

Add the existing helpdesk, mandatory seats, AI plan and any usage charges separately. If the account does not expose enough information to estimate a total, mark the cost unresolved and ask the vendor to explain a concrete sample conversation.

6. Expand gradually with a review owner

Assign a person to review pilot outcomes and decide which task can move into limited use. Keep a clear route to the human team. Check a sample of conversations after every material policy, catalog or configuration change.

Increase coverage only after the narrow task is reliable enough for your store. Retain a way to disable the agent or remove an action without losing the human support channel. Report observed outcomes and billable events separately; do not infer a store-wide resolution rate from a small pilot.
